The innovation-based transformation of enterprises concerns more than just the implementation of advanced technologies at the business management level. It is also a change in the work style and communication between teams that frequently work in different offices, often scattered around the world. Modern communication, however, means not only the ability to join a meeting from any place and device but also secure access to company resources and sharing them with colleagues. Aon’s Krakow-based business service center decided to take this step by implementing an ecosystem of Cisco collaboration solutions. Trecom was responsible for their implementation and integration.

Fewer business trips, more virtual meetings, higher work performance

“For us, using teamwork solutions is an element of our business strategy and a natural direction of development. We are an organization with branches located all over the world, so we often work in geographically dispersed teams. We have replaced frequent business trips with meetings in virtual space,” says Marcin Lisiewicz, IT Manager for Business Relations in Aon’s CEE area. “The implementation of Cisco solutions also allowed us to optimize the office space and introduce a system of rotating workplaces. There is no need for each employee to have an assigned desk when they can work properly from anywhere with Internet access, including home,” he adds.

As Aon representatives emphasize, group work tools allow maximizing work performance. They are essential in Activity Based Working, which consists of adapting the office space and tools to the needs of employees to assist them as much as possible in teamwork and developing creative solutions. That’s why remote work technology is critical to Aon. It allows for daily team meetings and project management, regardless of where the employees are.

Cisco Webex connects offices in Poland, the US and India

For many years, Cisco has been implementing its vision of a cutting-edge work environment using products from the Webex family, which combine video communication and teamwork solutions intuitively and safely, providing a coherent and easy-to-use platform. Therefore, Aon decided to equip eight conference rooms in its Krakow service center with Cisco videoconferencing solutions, which allow more people to join the meeting while maintaining the highest quality audio-video signal. The smart viewing function detects everyone present in the room and selects the most active group for the camera lens to focus on, which helps to keep order during the meeting. With the technology used, employees can successfully conduct meetings with colleagues from Aon branches from Great Britain, the USA or India without having to travel.
“We offer technology in a traditional, cloud and hybrid model. Thus, we can tailor solutions to the specific needs of an organization, regardless of its size or the sector it operates in,” says Anna Szymanek-Załęska, sales specialist for cooperation solutions at Cisco. “Accessibility from anywhere and the ability to integrate with third-party systems are what makes Cisco communication solutions increase our customers’ productivity. Additionally, video communication has the advantage over audio-only solutions in that it is much more effective. An opportunity to see our interlocutor and the feeling of being in the same room definitely improves the quality of the meeting, makes it much more constructive and the employees more involved,” adds Anna Szymanek-Załęska.

The key element of the project was post-implementation support. As part of the on-site support service, specialists from Trecom, which was responsible for deploying Cisco solutions, conducted several training courses for Aon employees and assisted the organization of the first meetings via the Webex platform.

“The implementation of Cisco cooperation solutions is part of Aon’s broader digital transformation strategy to support new work models. Trecom ensured the configuration and integration of Cisco hardware with audiovisual and smart building systems, thanks to which they became an integral part of the Aon IT ecosystem,” sums up Tomasz Lachowski, Sales Director at Trecom.
